This Privacy Policy explains how InMedia Monitoring (“InMedia”, “we”, “us”) handles personal information when you visit our website or use our media-monitoring platform. By using InMedia you agree to the practices described here.

1. Information we collect

We collect only what we need to provide and improve the service:

  • Account information — your name, work email, organisation, and a securely hashed password when you register or are invited to a workspace.
  • Usage & device data — pages visited, features used, approximate location, browser and device type. This is collected through cookies only where you have allowed the relevant category (see Cookies below).
  • Demo & contact requests — the name, email, and message you submit through our “Request a Demo” or contact forms.
  • Content you configure — the brands, keywords, competitors, and sources you choose to monitor, plus settings and preferences you save.

Your information is kept confidential. Everything you store in InMedia — your account details, the brands, keywords, and competitors you monitor, and your saved settings — is confidential to your workspace, accessible only to you and the people you invite. We never share it with other customers, and we never sell it.

The media coverage InMedia surfaces is drawn from publicly available sources; we are not in the business of profiling private individuals.

2. How we use your information

  • To provide, operate, and secure the platform and your account.
  • To send the reports, alerts, and email digests you have configured.
  • To respond to demo and support requests.
  • To understand usage and improve the product — only with your consent to analytics cookies.
  • To meet legal, security, and fraud-prevention obligations.

We do not sell your personal information.

3. Cookies and similar technologies

We use cookies in four categories. You control the optional ones through the cookie banner or the Cookie Settings panel, and your choice is saved on your device:

  • Necessary (always on) — needed for the site to work: signing in, security, and remembering your privacy choices. These never identify you and cannot be switched off.
  • Functional — remember preferences like your currency, region, or language.
  • Analytics — help us understand aggregated, anonymous usage so we can improve InMedia.
  • Advertisement — govern any advertising or marketing measurement cookies. We do not currently serve ads; this control is provided for transparency and any future use.

We use Google Analytics with Consent Mode v2: no analytics or advertising cookies are set until you allow the relevant category. You can change or withdraw your choice at any time.

4. Service providers & sub-processors

We share data only with trusted providers that help us run the service, under appropriate agreements:

  • Amazon Web Services — cloud hosting and database storage.
  • Google Analytics — website analytics (only with your consent).
  • OpenAI — AI processing for sentiment and relevance analysis of media coverage.
  • Email delivery provider — sending digests, alerts, and transactional email.

5. International data transfers

We operate globally and our providers may process data in countries other than yours, including the United States and India. Where data is transferred internationally, we rely on appropriate safeguards to protect it.

6. Data retention

We keep personal information for as long as your account is active or as needed to provide the service, then delete or anonymise it, unless a longer period is required for legal, security, or accounting reasons.

7. Data security

We protect your data with encryption in transit (HTTPS/TLS), securely hashed passwords, strict access controls, and continuously updated, hardened infrastructure.

InMedia is hosted on Amazon Web Services (AWS) — one of the most secure and widely trusted cloud platforms in the world. Your data benefits from AWS’s enterprise-grade security, including:

  • Physically secured, access-controlled data centres monitored 24/7.
  • Independently audited certifications maintained by AWS, including ISO 27001, SOC 1/2/3, and PCI DSS.
  • Encryption of data both in transit and at rest.
  • Network isolation using private networks (VPC), firewalls, and security groups.
  • Least-privilege access controls and detailed activity logging.
  • Automated backups and resilient, redundant infrastructure across availability zones.

No method of transmission or storage is ever perfectly secure, but we work continuously to protect your information and to respond promptly to any incident.

8. Your rights

Depending on where you live, you may have the right to:

  • Access, correct, or delete your personal information.
  • Object to or restrict certain processing.
  • Withdraw consent (for example, by changing your cookie choices) at any time.
  • Request a copy of your data in a portable format.

9. Children

InMedia is a business tool and is not directed to children. We do not knowingly collect data from anyone under 16.
